The report
The report is the branded PDF built from a sealed record — the document you’d actually hand to a resident, a contractor or a regulator.
What it is
Every hazard type has its own report template and title — “Damp & Mould Investigation Report”, “Excess Cold Inspection Report”, “Asbestos Management Survey Report”, and so on — built from that hazard’s own set of report sections, which is a different (usually shorter) list than the sections the surveyor worked through in the wizard. The platform’s own rule for building it is strict: a section with nothing recorded for it is omitted entirely, never printed as an empty heading or a fabricated placeholder. Where a genuine result is still pending — a radon lab result not yet back, for example — the report says exactly that (“awaiting result”) rather than leaving the line blank or guessing.
Before you start
Generating a report needs the same evidence view access as opening the sealed record it’s built from.
How to do it
- Open the sealed record in Evidence.
- Click Generate report to build the PDF using your organisation’s branding — logo, accent colour and, on paid plans, further layout customisation — see Branding.
- Review the sections that appear — they follow the order fixed by that hazard type’s own report template, not the order you happened to work through them on-site.
- Download or share the PDF as you would any other document — it carries no separate access control beyond having reached this screen.
- If the record is later revised, regenerate the report from the new version — the previous PDF reflects the version it was built from and is never retroactively changed.
How it integrates
The report reads from exactly the same sealed data every other surface does — the evidence register view, the REST API, the nightly EDI export — so nothing in it is a separate summary that could drift from the record. Hazard-agnostic sections (hazard triage, emergency actions, GPS proof, client instructions, legal disclaimer, property information, executive summary, surveyor declaration, tenant acknowledgment, case notes) appear on every hazard type’s report; hazard-specific sections come from that hazard’s own reportSections list. A revised report is a new sealed record with its own report, never an edit of a PDF already issued.
Common problems
- A section I expected isn’t in the PDF. If nothing was recorded for it, it’s omitted by design — check the sealed record itself first to confirm whether there’s genuinely nothing there.
- The branding looks wrong. Check Settings → Branding — logo, colour and (on paid plans) layout customisation are all organisation-wide settings, not per-report choices.
- I need the report to reflect a correction. Regenerate it after the correction lands as a new sealed version — see Correcting a sealed record.
