The property register

Properties holds your property stock — the register surveys are raised against, and the record that steadily gets more complete as surveys are carried out against it.

What it is

A property record isn’t only what you imported or typed in. When a survey is raised against a known property, structured details already on file — type, construction material, age band, floors — pre-fill the survey automatically, badged from property until a surveyor edits a value. Finalising the survey then writes any differing, newly captured values back onto the property record, attributed to that survey. A blank field never clears an existing one, so the record only gets more complete over successive surveys.

How to do it

1. Open Properties from the sidebar and use search or filters to find an address.
2. Click a property to open its record — property details, its own Notes tab, and (where your organisation has the asbestos hazard type switched on and the property has at least one sealed asbestos survey) an Asbestos register panel.
3. Add a property manually, or bring in your stock in bulk via Properties → Import (CSV or Excel) — rows are matched on UPRN, so re-importing the same UPRN updates the property rather than duplicating it.
4. Use the property’s own Notes tab for anything worth recording against the address itself — access quirks, a standing arrangement with the freeholder — rather than against one specific job. Notes here are internal only and excluded from the sealed evidence pack unless someone explicitly includes one.
5. For who lives where, open Properties → Tenancies — a separate, lean register of tenant contact details and occupancy status, linked to the property by UPRN. It can also be imported by CSV and exported to your own systems.

How it integrates

• Surveys and works orders link back to the property, so evidence chains onto that property’s own timeline.
• Raising a work order or drafting a resident letter for a property with a matching tenancy suggests that tenancy’s contact automatically.
• The Asbestos register panel supports good asbestos-management practice for a housing-association landlord; it is a property-level operational record, not itself the statutory duty-to-manage register that the Control of Asbestos Regulations 2012 requires for common parts and non-domestic premises.
• Properties are tenant-scoped and indexed for address search, so large estates stay responsive; isolation between organisations is enforced server-side.

Common problems

• A property field I know is correct keeps reverting. Structured fields are only overwritten by a newer, differing value from a finalised survey — check whether a more recent survey recorded something different.
• An import row was skipped. Rows missing an address or postcode are skipped and listed with the reason; a UPRN with no digits is flagged rather than accepted silently.
• I can’t see the Asbestos register panel on a property. It only appears once the asbestos hazard type is switched on for your organisation and the property has at least one sealed asbestos survey.
