Acceptable Use Policy

This Acceptable Use Policy governs use of the HousingSurvey Pro Service operated by ProSurvey Apps Limited (company number 17118570, England and Wales). It is incorporated into, and forms part of, the Terms of Service. Capitalised terms have the meaning given there. We may suspend or terminate access for breach, as set out in the Terms.
You, and everyone you authorise to use the Service (your Authorised Users), must comply with this policy.
1. Lawful use
- Use the Service only for lawful purposes and in compliance with all applicable laws, including housing, data-protection, health-and-safety and equality law.
- Do not use the Service to store, transmit or process content that is unlawful, infringing, defamatory, harassing, or that violates a third party's rights.
2. Data-protection and evidence discipline
- Do not enter special-category personal data (for example, health, ethnicity, religious or similar data) into evidence or free-text fields.
- Do not enter more personal data than the assessment requires. Records are designed to describe properties, not people.
- Ensure you have a lawful basis for any personal data you enter, and that you are authorised to enter it.
- Do not knowingly enter false, misleading or fabricated data into an Evidence Record. Evidence integrity depends on honest, competent capture.
3. Security and integrity
- Do not attempt to circumvent, disable or probe tenancy isolation, security rules, access controls, app attestation, two-factor authentication, or seat/user enforcement.
- Do not attempt to alter, delete or forge finalized Evidence Records, audit logs, or hash chains, or to defeat the tamper-evidence mechanisms.
- Do not access, or attempt to access, data belonging to another organisation.
- Keep your credentials (passwords, passkeys, TOTP, API keys, SCIM tokens, webhook secrets, SSO configuration) confidential; report suspected compromise promptly.
4. Platform protection and fair use
- Do not scan, penetration-test, load-test, or stress the Service without our prior written authorisation.
- Do not use automated means to overload the Service, or exceed documented rate limits. API and SCIM access is rate-limited and audited.
- Do not introduce malware, or upload files other than the permitted content types and sizes (uploads are restricted to images within a size cap).
- Do not use the free plan, trials or pilots to evade paid limits (for example, by creating multiple organisations to avoid seat/user charges), or share named seats among multiple people to defeat per-seat licensing.
5. No resale or misrepresentation
- Do not resell, sublicense, or provide the Service to third parties as a service without a written partner agreement.
- Do not misrepresent the Service's capabilities — in particular, do not present the Service as a legal/compliance guarantor, or its outputs as statutory determinations or completed statutory reports. The Service is a tool; statutory duties remain yours (see the Terms, clause 2).
6. AI features
- Treat all AI output as an advisory draft requiring review by a competent person before any use. Do not represent AI output as verified fact or as a professional determination.
- Where survey-content AI runs on your own provider key, ensure your use of that provider is lawful and covered by your own agreement with it.
7. Enforcement
We may investigate suspected breaches and may suspend (immediately, where reasonably necessary — for example, security, unlawful use, or non-payment) or terminate access as set out in the Terms of Service (clause 10). We will tell you where practicable. We may preserve and disclose information where required by law or to protect the Service, our users, or third parties, consistent with our role as processor for Tenant Personal Data described in the Privacy Policy.
