The Billing area shows your plan, seats, and the invoices and statements for your organisation. Tiered — Basics for viewing and paying, Deep dive for seats and statements, Technical for how it's controlled.
Basics — your plan & invoices
- Open Billing from the sidebar (org admins).
- See your current plan and licensed seats.
- View invoices — each with its number, date, amount and status (outstanding / paid).
- Download an invoice to share with your finance team.
HousingSurvey Pro bills by seat. Your plan and seat count are set as part of your agreement; contact your account manager to change them.
Deep dive — seats, statements & agreements
- Seats: a seat is a licensed user of the platform. Adding members beyond your licensed seats is prevented until seats are increased — this is a billing control, not something an org admin can self-grant.
- Invoices: issued against your agreement, with a unique number and a clear status. Paid and outstanding invoices are both retained for your records.
- Statements: a running record of charges and payments for reconciliation.
- Billing agreement: the commercial terms (plan, rate, billing cadence, payment method — invoice/PO/bank transfer) are recorded against your organisation.
Technical — how billing is controlled
- Server-side only: billing fields — seats, plan, invoice records — are not client-writable. An org admin can view them but cannot change seats or billing terms from the UI; changes go through audited server logic operated by the platform.
- Audit: billing and commercial actions are recorded as immutable audit events.
- Separation of duties: costing on work orders (your SOR rates) is separate from platform billing — one is your repair pricing, the other is your subscription.
Rollout note: invoice PDFs, statements, and accounting-integration exports are being delivered under the commercial-operations track — the core invoice/agreement records are in place today.
