Welcome to HousingSurvey Pro. This guide gets a new organisation from sign-up to a first completed survey. It is written in tiers — read the Basics to get going; open Deep dive and Technical only if you need them.
Basics — your first 20 minutes
1. Create your organisation
- Go to the management dashboard and choose Create organisation.
- Enter your organisation name and confirm you are a landlord (housing association) or a contractor. Landlords own the evidence; contractors work against it.
- You are now the first org admin.
2. Add your property stock
- Open Properties → Import.
- Download the example file, fill it in (address line 1 and postcode are the minimum), and upload it as CSV or Excel (.xlsx).
- Review the preview — any skipped rows are listed with the reason — then confirm the import. Re-importing the same UPRN updates, never duplicates.
3. Invite your team
- Open Settings → Members (or Team).
- Invite colleagues by email for office/manager roles.
- Field surveyors without email get a tenant login (username/code + passcode) provisioned here — they use it to sign in on the mobile app.
4. Raise work and survey a property
- Create a Work order for a property (or let an Awaab's Law damp-and-mould case drive it).
- Assign it to a surveyor. They receive it in the mobile app's jobs inbox.
- The surveyor drives to the property, captures the survey on-site, and finalises it. The sealed evidence appears back in Evidence on the dashboard.
5. Generate a report
- Open the survey in Evidence and choose Report.
- The branded, print-ready report is generated from the sealed evidence — use your browser's print/PDF to save or send it.
Deep dive — configuration you'll want next
- Branding (Settings → Branding): upload your logo and set accent colours; these flow into the surveyor app and reports.
- Capture policy (Settings): require on-site GPS editing, set the survey radius, choose which optional modules (e.g. estimated costs) are enabled, and set currency and temperature units.
- Repair rates (SOR): import your licensed Schedule of Rates catalogue so work-order costing and photo-to-code suggestions switch on.
- Compliance schedule (Settings): review the indicative Awaab's Law timeline (investigate / written summary / begin works) and adjust to your policy — it is a planning aid, not a legal guarantee.
- Permissions: assign each member a role baseline, then use per-module None/View/Edit/Module-admin overrides where needed. Platform system admin and owner-only powers cannot be granted this way.
Technical — for IT managers & integrators
- SSO: connect Microsoft Entra ID for staff sign-in (Settings → SSO & provisioning). See Integrations — SSO (in the help index).
- AI provider key: HousingSurvey Pro uses your own AI provider key (Anthropic/OpenAI/Azure/Gemini). Add it in Settings → AI; with no key, AI features are simply off. AI output is advisory and never enters evidence.
- API & webhooks: programmatic access and event webhooks are configured under Settings → API & webhooks.
- Data residency & security: data is hosted in London (europe-west2); evidence is hash-chained and tamper-evident. See the Security & data architecture page.
- Exports: full-organisation and GDPR subject-access exports are available to admins (Settings → Data & exports).
