The evidence register

The Evidence area is where sealed surveys land — your searchable record of every completed inspection, with integrity verification and one-click reports.

What it is

Once a surveyor finalises a survey in the capture app, it appears here as a sealed record: readings, photos, assessments and the report narrative for a damp & mould or excess cold case, or the equivalent hazard-specific content for asbestos, indoor air quality or radon. The list shows the most recent records first, with property, status and date.

How to do it

1. Open Evidence from the sidebar.
2. Search by address or reference, or filter by status.
3. Click a record to open it and review its contents in full.
4. Click Report to generate a branded, print-ready report — use your browser’s print/PDF function to save or send it.
5. On a large estate, use Load older records at the bottom of the list to page back through history rather than waiting for everything to load at once.

How it integrates

• Verify integrity checks a record against its hash chain. A verified record confirms it hasn’t been altered since sealing; a broken chain is flagged and raises an alert — the record’s bytes are never changed, only flagged, so the original is preserved for investigation.
• Revisions. When an authorised edit is made to a sealed record, a new version is created and chained to the original — the sealed record itself is never changed. Every prior version stays viewable, so you can see and export data from any version, not only the latest. Your organisation’s capture policy controls who may revise a record.
• Evidence is what feeds the report, the evidence bundle export, the nightly EDI export, and any webhook configured for survey.finalized.
• Evidence is tenant-scoped — you only ever see your own organisation’s records, enforced server-side rather than only in the interface.

Common problems

• A record shows a quarantine banner. Its integrity check has failed — the bytes are preserved, not altered, while the discrepancy is investigated. This is rare and should be treated as a priority.
• I can’t find an older survey. Use Load older records or search by address/reference rather than scrolling — the initial list only loads the most recent records for speed.
• I revised a record and the old version has disappeared. It hasn’t — open Version history on the record to see and export every prior version alongside the current one.
