Running a survey, hazard by hazard

How a surveyor completes a survey on-site, from opening an assigned job to sealing the evidence. Which modules you see depends on the job’s hazard type and your organisation’s own configuration.

What it is

Every job opens onto a survey dashboard — a hub of module cards, each showing its own live status. You can work through the cards in any order; a Next button also walks you through them in sequence. Which cards appear is set by the job’s hazard type (chosen by the office when the job is raised) combined with your organisation’s App configuration.

Before you start

Where your organisation records resident vulnerability or safeguarding information, or a scope of survey for the job, these appear as a read-only briefing the first time you open the job — read them before you start; declining to acknowledge an optional briefing never blocks you from continuing.

How to do it

  1. Open your job from the inbox and, where your organisation requires it, capture a GPS fix on-site — editing is only allowed while you’re at the property if this is switched on.
  2. Work through the modules. Each card opens a full-screen module; add photos as you go — they’re timestamped and fingerprinted at capture.
  3. Complete any required rooms. A live progress indicator tracks required rooms where they’ve been set for the job; finishing without them all complete still lets you proceed with a recorded reason.
  4. Pick your scope of works and costs. After recording your remedial recommendations, choose items and quantities from your organisation’s own rate catalogue (or describe the work in plain text if no catalogue is loaded yet) — you never enter a price yourself.
  5. Sign off. Add your own signature and, where tenant signatures are enabled, the resident’s — or mark it declined or unavailable.
  6. Finalise. This checks the required steps are complete, then seals the record — it can no longer be edited, and it syncs to the portal as evidence.

How it integrates

Damp & mould and excess cold share the full room-by-room survey: property and resident details, weather and external conditions, soil and drainage, per-room readings and psychrominetric diagnostics, condensation risk, HHSRS scoring, floor plan, a narrative review, remedial recommendations, scope of works and sign-off. Asbestos, indoor air quality and radon are each their own smaller, purpose-built wizard:

  • Asbestos records a per-item register entry — location, material, presumed or sampled — rather than a room-by-room survey. A lab result, once received, is added later by revising the finalised record.
  • Indoor air quality records room-by-room instrument readings against reference bands, alongside a separate carbon monoxide alarm checklist.
  • Radon records a single detector deployment per property; the lab-reported result is added later, the same way as an asbestos result, by revising the finalised survey.

Whichever hazard type, finalising is what creates the sealed record in Evidence, starts or updates the relevant statutory clock, and — where a scope of works was picked — carries costed lines through to the works order.

Common problems

  • A module I expect isn’t there. Sections are switched on or off per hazard type in your organisation’s App configuration — ask an admin to check Settings → App configuration → Hazards.
  • A field is read-only. Some fields are pushed from the office (the property address, a resident brief) and are deliberately not editable in the field.
  • I can’t see prices while picking scope of works items. Whether surveyors see prices while picking is a management-only setting; office and the report always show prices regardless.
