Seats: what is billed and what is free

Who can do thisPermission: billing ≥ 2

Only one role actually consumes a billed seat — everyone else is either free within a bundle, capped but free, or unconditionally free.

What it is

  • Surveyor — the one licensed seat type. Solo includes exactly one, free; every paid plan is billed per active surveyor.
  • Office roles — owner, org-admin, manager, coordinator and finance — are free up to a bundle that comes with your plan: 2 on Solo (a hard cap, with no add-on available), 5 on Team, 15 on Platform, and unlimited on Enterprise. Team and Platform can buy additional office seats beyond the bundle as a paid add-on; Solo cannot.
  • Viewer — always free, but capped on Solo at 3; unlimited on every paid plan.
  • Operative — always free, uncapped, on every plan — quick-adding or activating one runs no seat check at all.

How to do it

  1. Open Settings → Members & seats to see your active surveyor count against your licensed total.
  2. To add surveyor seats, or extra office seats beyond your bundle, go to Billing and adjust your seat count — changes prorate immediately.
  3. If you’re at your surveyor-seat limit and try to invite or promote someone into that role, the invite is refused with the exact count in use versus licensed — free a seat by removing an inactive surveyor, or add seats on Billing.

How it integrates

Seat limits are enforced at the moment a role is actually assigned — inviting someone, or changing an existing member into a billed or capped role — not on a schedule or a nightly check. A reassignment between two office roles (manager to coordinator, say) never re-checks the office bundle, since neither consumes more of it than the other. A contractor-organisation surveyor account still consumes the landlord’s own surveyor seat, not the contractor’s — the seat is tied to who is doing surveying work under your evidence chain, not which organisation employs them.

Common problems

  • I can’t work out why an invite was refused with “no seats available.” Check which cap it hit — the message names the role: surveyor seats reference your licensed count on Billing, office and viewer refer to your plan’s free bundle plus any add-on purchased.
  • I upgraded from Solo but my office bundle still looks capped at 2. Refresh the Members page — the new bundle size applies immediately on upgrade, but a cached view can lag briefly.
  • A contractor’s surveyor account is eating into my seat count. That’s expected if you issued them as a contractor-lite surveyor working under your evidence chain — it’s billed the same as any of your own surveyors.
