Invoices, VAT and the billing portal
The Billing area shows your organisation’s plan, licensed seats, and its invoices and statements.
What it is
Billing is bill-by-seat: a seat is a licensed user of the platform, and your plan and seat count reflect your organisation’s current agreement. Every invoice raised against your organisation appears here, with its number, date, amount and status.
Before you start
Billing is visible to org admins, owners and members with finance permission.
How to do it
- Open Billing from the sidebar.
- Review your current plan and licensed seats at the top of the page.
- Scroll the invoices list to see each invoice’s number, date, amount and status (outstanding or paid). Download any invoice to share with your finance team.
- Open Manage billing to reach the billing portal, where you can update your payment method and review past statements.
How it integrates
- Adding members beyond your licensed seat count is prevented until seats are increased — this is a billing control, independent of what an org admin can do from Members.
- Costing on a works order (your own Schedule of Rates catalogue) is entirely separate from platform billing: one is your own repair pricing, the other is your subscription.
- Billing fields — seats, plan, invoice records — are never client-writable; every change goes through audited server logic, and every billing action is recorded in your organisation’s audit log.
Common problems
- An invoice looks wrong or is missing. Both paid and outstanding invoices are retained for your records — check the status filter, or download the underlying statement for a fuller reconciliation view.
- I can’t add a new member. You’ve reached your licensed seat count; increase seats before inviting further members.
- I can’t change the plan or seat count myself from this page. This is by design — billing terms are a commercial change to your agreement, not a self-service toggle.
