Capture policy

Capture policy is the set of organisation-wide rules every surveyor’s field app enforces — there is no per-device configuration.

What it is

Capture policy covers eight on/off rules — photo requirements for hazards and works completion, the quality-check gate, on-site-only editing, surveyor self-reporting, the estimated-costs module, opt-in presence sharing, and surveyor editing of the survey date — plus currency, temperature unit, date/time display format, and report-revision policy. A GPS fix is always required to seal evidence; that one is not configurable.

How to do it

1. Open Settings → Capture policy.
2. Toggle any of the checkboxes — each saves and applies to every surveyor’s app immediately, with no separate save step.
3. If you turn on Only allow editing at the property, set the on-site radius (25–2000 metres) a surveyor must stay within to keep editing.
4. Set Currency, Temperature unit, and Date & time format — display only; the app itself always stays in English.
5. Choose your Report revisions policy: open (surveyors can create corrected versions of a sealed report) or locked (sealed reports can never be revised).
6. Further down the same page, grant a surveyor on-site editing rights to specific portal-fed case fields (tenant name, address, disclaimer wording and others) — each is read-only by default.

How it integrates

Every toggle here reads directly into the field app’s wizard: turning off Require photos for works completion, for example, lets a job close on a completion note alone, honestly marked “Notes Only — No Photo Evidence” on the record. Report revisions never edit the original sealed record — a revision creates a new, hash-chained version carrying a recorded reason, with the full history kept on file. Capture policy is read when a surveyor opens a survey, so a change made mid-survey takes effect from the next survey that surveyor opens, not retroactively to one already in progress — see Internal target deadlines and App configuration for the settings that sit alongside this one.

Common problems

• I changed a rule and a surveyor already on site doesn’t see it. Capture policy is read when a survey starts — it applies to the next survey they open, not one already running.
• A surveyor can’t edit a field I expect them to. Portal-fed case fields (tenant name, address, disclaimer, scope) are read-only in the field app by default — grant edit access to a specific field in the “Portal-fed case fields” panel below the main toggles.
• The on-site radius input is missing. It only appears once Only allow editing at the property is turned on.
