Mail log
Mail log is a read-only record of every email your organisation’s own mailers have sent — statutory alerts, resident letters, invoices and SMTP tests — visible to managers and owners.
What it is
One searchable, filterable list: recipient, kind, status (sent, failed, pending-send), and, where relevant, a link through to the work order the email relates to. Unlike most of Settings, it’s gated on the Members module rather than Settings — a manager who can’t touch most of Settings can still see this.
How to do it
- Open Settings → Mail log.
- Use the search box to find a recipient, kind or job, and the status and kind filters to narrow the list further.
- Where an entry links to a work order, click through to open it directly.
- Click Load older mail to page further back than the initially loaded page.
How it integrates
This log starts recording from when the feature shipped — it carries no backfill, so mail sent before that point never appears here. Every statutory alert email, resident letter, invoice email and SMTP test from Notifications and SMTP lands here, including a fallback-relay attempt if one occurred, letting you see both the original failure and the retry side by side. Nothing here can be edited or deleted, by any role — it’s a record of what actually happened, not a queue you manage.
Common problems
- A statutory alert email isn’t showing here. Check whether SMTP is configured at all under Notifications and SMTP — with none configured, email alerts are skipped silently and never generate a mail-log entry in the first place.
- An entry shows “failed.” Check host, port and encryption settings under Notifications and SMTP, and your mail provider’s own logs — the failure reason isn’t always visible from HousingSurvey Pro’s side alone.
- I can’t find mail from before we started using this feature. The log has no backfill — it only records mail sent since the feature went live in your organisation.
