Data and exports
Settings → Data & exports gathers every way data moves out of your organisation in bulk — nightly EDI, a full GDPR export, evidence bundles, BigQuery warehouse access, and organisation deletion.
What it is
Five cards, in order: EDI flat-file (CSV) — nightly or on-demand CSV drops of your evidence and work orders, optionally also delivered to an SFTP server, a Platform-plan feature; GDPR data export — a signed ZIP of your whole organisation’s data; Evidence bundles — a pointer to the chain-verified ZIP export available from any sealed record in Evidence; Analytics warehouse (BigQuery) — a tenant-isolated, read-only view of your own data for your own BI tool, also a Platform-plan feature; Residency & retention facts; and, for the account’s literal Owner only, Delete organisation.
Before you start
The nightly EDI export and BigQuery warehouse access require the Platform plan. Exporting all organisation data requires audit module-admin access, a higher bar than the settings level that opens this section at all. Requesting organisation deletion requires being the account’s literal Owner, not just an org-admin.
How to do it
- Open Settings → Data & exports.
- For a one-off EDI export, pick a date range under EDI flat-file (CSV) and click Run now — this produces the same column layout the nightly 02:00 UK run does, and appears in the run history immediately. Toggle nightly (02:00 UK) to schedule it going forward, and optionally set an SFTP delivery destination alongside the CSV download.
- Click Export organisation data (GDPR) to build and download a full ZIP — the download link opens automatically and stays valid for around 15 minutes.
- For BigQuery access, click Enable warehouse access — your connection details and a service-account key are shown once; copy them into your BI tool immediately.
- To delete the organisation, type its exact name to confirm, then click Request organisation deletion. This schedules erasure after a 90-day cool-down and can be cancelled at any point during that window with one click.
How it integrates
Every export here shares one property: it never alters or removes the underlying evidence, and finalized evidence itself has no edit or delete path — any change to a sealed record breaks its hash chain and is detected on the nightly integrity sweep. All data lives in europe-west2 (London) regardless of which export you use. GDPR export and evidence bundles are available on every plan; EDI and warehouse access are Platform-plan features specifically. Organisation deletion, once its cool-down passes, is permanent — running a GDPR export first is worth doing before requesting it.
Common problems
- Export organisation data is greyed out for me. It needs audit module-admin access specifically — a higher bar than opening Settings itself, held by fewer people than settings-level admin access.
- I can’t find Delete organisation on this page at all. It’s shown only to the account’s literal Owner — an org-admin, even with full settings access, doesn’t see it.
- I requested deletion by mistake. Return to this page and click Cancel deletion request any time before the 90-day cool-down ends — after that, the purge is permanent.
