How HousingSurvey Pro fits together

HousingSurvey Pro is two applications sharing one evidence record: the management portal, where office staff raise and track work, and the capture app, where surveyors and operatives work on-site. This article maps how the two fit together, and where the record goes after it’s sealed.

What it is

The portal is where your organisation manages properties, raises surveys and works orders, schedules visits, manages contractors and staff, and configures every setting. The capture app is where a surveyor or operative actually does the work — completing a survey, capturing photos and readings, and finalising it on-site. Once a record is finalised in the app, it is sealed and appears back in the portal’s Evidence area automatically. Nothing routes the other way: the portal never edits a sealed record directly, only revises it as a new version.

Sitting behind both is a set of backend services: the statutory clock for Awaab’s Law timescales, the integrations that push evidence to your own systems, and the AI features that assist (but never author) your reports.

Your first session, step by step

1. Add your property stock. Open Properties → Import and upload a CSV or Excel file of your addresses, or add properties one at a time. See The property register.
2. Invite your team. Open Settings → Members to invite office and management colleagues by email. Field surveyors without an email address get a tenant login (username/code plus passcode) instead, provisioned from the same screen.
3. Raise your first job. Open Jobs and choose + New survey for a property, or + New works order (no survey) for work with no source survey. See Raising a survey: the New survey form.
4. Assign it. Send the job to one of your own surveyors, or to a contractor organisation you hold a grant with.
5. The surveyor completes it on-site. They open the job in the capture app, work through the hazard’s sections, and finalise it. The sealed record appears in Evidence on the portal.
6. Generate the report. Open the sealed record and choose Report for a branded, print-ready document.

How it integrates

• The capture app reads its available sections from the job’s hazard type and your organisation’s App configuration — the same job can look different for two organisations with different settings switched on.
• A finalised record is what starts and stops the Awaab’s Law statutory clock for hazards that carry one.
• If your organisation has configured them, sealed records and stage changes also fire webhooks to your own systems, and the nightly EDI export and BigQuery sync pick up the same data.
• AI features, where your organisation has added a provider key, assist with drafting and photo description throughout the flow — they never author or seal a record on their own.

Common problems

• A sidebar tab I expect to see is missing. Portal tabs are gated by your organisation’s plan and by your own permission level for that module — see The Settings hub for how modules and permissions fit together.
• A surveyor can’t see a job that was just assigned. Confirm the assignment saved (open the job and check Assignment & costs) and that the surveyor’s app has synced — see Working offline and syncing.
• AI-assisted drafting isn’t appearing anywhere. No AI provider key has been added yet — see Connecting your AI provider.
