The setup wizard, step by step

Who can do thisRole: org-admin

The setup wizard opens automatically the first time an org-admin signs in to a newly created organisation. It walks through eleven steps; every one is skippable and none of them is a one-time-only chance — anything skipped here can be finished later from Settings.

What it is

The wizard has six core steps — Organisation, Properties, Team, Contractors, Integrations, Field app — followed by five optional groups: Region, Branding, AI, Addresses and Email. Progress is saved to your organisation record after every step, so leaving and coming back resumes where you stopped rather than restarting.

How to do it

  1. Organisation — set your display name and two capture-policy switches (require a photo for hazard findings; require the data-quality check before a record can be locked). A GPS fix is always required to seal evidence and isn’t a setting.
  2. Properties — import a CSV of your property stock. The importer looks for address, postcode and (recommended) UPRN columns; UPRN keys the tamper-evident evidence chain per property and makes a later re-import merge instead of duplicate.
  3. Team — invite colleagues by email, one at a time or by pasting a list, each with their own role. The step shows your surveyor-seat usage against your licensed count as you go.
  4. Contractors — add your supply chain one at a time or by CSV. A contractor not yet on the platform gets an invite code shown here and on their card afterwards.
  5. Integrations — optionally save a webhook URL and mint a REST API key (Platform plan) and see what single sign-on unlocks (Enterprise plan). Every field here works exactly as it does later under Settings.
  6. Field app — a first-capture checklist (install, sign in with the same work email, capture a test record, watch it arrive in Evidence) and a Create my calendar link action that mints your own dispatch-calendar feed.
  7. Continue through Region, Branding, AI, Addresses and Email — or select Skip this step on any of them — then select Finish.

How it integrates

Each step writes to the same fields the equivalent Settings section reads and writes later — the wizard is not a separate, one-off configuration path. A skipped optional step doesn’t disappear: it resurfaces on the Dashboard’s Finish setting up checklist afterwards (see The onboarding checklist), and finishing it there or directly in Settings marks it done in both places, since both read the same underlying organisation fields. The wizard only ever opens for an org-admin; other roles never see it.

Common problems

  • The wizard reopened even though I already finished it once. It can be reopened on an established organisation — finished steps show as complete and nothing is overwritten unless you actively change something.
  • I skipped Properties but now want to import — where did that go? Nowhere — open Properties → Import any time; see Importing properties from CSV.
  • A step shows a plan badge (Platform/Enterprise) I don’t have. That step’s action is genuinely gated by your organisation’s plan; everything else in the wizard still works, and the gated action becomes available the moment your plan covers it.
