Costs and references covers the office/commercial side of App configuration — surveyor price visibility, reference-number suggestions, and the wording a surveyor signs against.

What it is

Scope of works & costs — surveyor price visibility decides whether a surveyor sees prices while picking items on site — the item list and rates always come from your own Schedule of Rates catalogue, and this toggle only controls whether the price itself is shown to the surveyor; the office and the report always show it regardless. Reference number scheme sets an optional prefix Work Orders uses to suggest a reference number. Sign-off attestation sets the wording a surveyor signs against at the end of every survey.

How to do it

  1. Open Settings → App configuration → Costs & references.
  2. Toggle Let surveyors see prices while picking items on site — it’s off by default, unlike every other toggle in App configuration.
  3. Enter a Prefix under Reference number scheme (for example “HA”) — Work Orders’ create form then suggests “PREFIX-YYMMDD-HHMM”, always editable before creating the job; leave it blank to require manual entry with no suggestion.
  4. Write your organisation’s Sign-off attestation wording, or leave it blank to use the platform default. Click Save changes.

How it integrates

The sign-off attestation is seeded onto every fresh survey and re-asserted on every save by the field app — unlike the disclaimer and scope wording elsewhere in App configuration, there’s no field-override toggle that lets a surveyor edit it; it’s shown read-only just above the signature on every survey’s Final Sign-Off step. The reference-number prefix only ever seeds a suggestion — manual entry and editing on Work Orders’ create form is always allowed regardless of what’s set here.

Common problems

  • Surveyors are quoting prices to residents that I don’t want them to see. Confirm surveyor price visibility is off — the item list and quantities are always available to surveyors; only the price figure itself is hidden by default.
  • The suggested reference number isn’t using my prefix. Check it was saved on this tab, and that you’re looking at Work Orders’ create form — an existing job’s reference number is never retroactively changed by a later prefix change.
  • A surveyor asked to change the sign-off wording on site. They can’t — sign-off attestation wording is always locked in the field app, unlike the disclaimer and scope text, which can be granted a per-field override in Capture policy.
