App configuration: Resident
Resident controls what the survey wizard captures from or about the person living at the property — on-site intake, vulnerability and safeguarding triage, and the tenant’s signature at completion.
What it is
Resident intake lets a surveyor confirm case details on-site — reason for inspection, HMO/room, occupant counts, pets, contact method, report delivery and preferred language. Resident vulnerability & safeguarding triage captures special-category data (respiratory/cardiac/immunocompromised conditions, children under 5, elderly/mobility needs, safeguarding flags) with every question optional. Tenant signature offers a signature step just before a survey finalises.
How to do it
- Open Settings → App configuration → Resident.
- Toggle Show the resident-intake section in the survey wizard — the office can always enter the same fields on the case in Work Orders regardless of this setting; it only controls whether the wizard also surfaces them.
- Toggle Collect resident vulnerability/safeguarding triage answers — every question stays optional with “prefer not to say” always available when this is on.
- Toggle Capture the tenant’s signature when a survey completes — a tenant can also decline or be recorded as unavailable, which never blocks completing the survey either way.
- Click Save changes.
How it integrates
Turning off vulnerability/safeguarding triage hides both the wizard section and the portal’s own triage panel, and stops new answers being recorded for your organisation — anything already recorded stays exactly as it is until deleted from a case’s triage panel or removed via a full data export/deletion request. Triage answers are visible only to managers and owners and to the surveyor or operative assigned to that specific case. When tenant signature is on, it’s offered after the survey’s mandatory-requirements gate and before finalising, and seals into both the record and the report PDF alongside the surveyor’s own declaration.
Common problems
- The office already has these fields on the case — why does the wizard need them too? It doesn’t, if you’d rather rely on office entry alone — turning resident intake off only removes the wizard’s own copy; office entry in Work Orders is never gated by this setting.
- A surveyor says the triage section vanished. Check this toggle — turning it off removes the section from every survey and hides the portal’s triage panel until it’s switched back on.
- I need to remove a triage answer that’s already recorded. Delete it from that case’s triage panel, or request its removal as part of a full data export/deletion request — turning this setting off does not retroactively remove existing answers.
