Assigning a survey
A job’s assignment answers one question — who’s carrying this out — with three possible states: one of your own surveyors, nobody yet, or a contractor organisation.
What it is
Assignment is a single create-time (or later, drawer-time) choice: Assign now with a surveyor picked from your team, Assign now left as Unassigned, or Assign now to a contractor organisation you hold an active grant with. Choosing a contractor clears any surveyor assignment and vice versa — the two are mutually exclusive at the point you set them, though a job farmed out to a contractor can later end up assigned to a specific surveyor once the contractor’s own manager claims and assigns it on their side.
Before you start
Assigning or reassigning a job needs workOrders permission at Edit level or above. Assigning to a contractor needs an active invite grant with that organisation — see The contractor directory.
How to do it
- On New survey or an existing job’s Assignment & costs tab, expand or open Assign now.
- Choose Your own surveyor and pick a name, or leave it as Unassigned to decide later.
- Choose A contractor organisation instead and pick from the organisations you hold an active grant with.
- Save. An unassigned job sits in the Schedule view’s unassigned tray until someone picks it up; an assigned job appears in that surveyor’s inbox in the capture app.
How it integrates
Only roles that can actually open the survey wizard — not the stripped operative works-jobs view — are offered as assignees for a survey-kind job; the eligible-assignee list is filtered accordingly. If a contractor grant is revoked between when you opened the form and when you save, the assignment fails closed rather than silently binding to a stale grant — reselect a currently active contractor and try again. Moving a scheduled appointment never rewinds a job that’s already in progress back to a “scheduled” state. Common problems
- The contractor I want isn’t in the list. You need an active invite grant with them first — see The contractor directory and Invite codes and grants.
- I assigned a job to a contractor but it still shows in my own team’s Unassigned tray. Check the assignment actually saved on Assignment & costs — a contractor assignment should clear your own team from the picture entirely.
- The surveyor I picked doesn’t see the job. Confirm they’re signed into the correct organisation profile in the capture app, and that the assignment change has synced.
