Exporting everything your organisation holds
One export builds a complete, signed ZIP of everything your organisation holds in HousingSurvey Pro — every collection, as JSON, plus a manifest of every photo’s storage path.
What it is
The export walks your organisation’s own record, members, contractor grants, audit events, capture-configuration overrides, EDI runs, notifications and billing history, plus every survey, work order and property your organisation owns, and writes each as its own JSON file inside one ZIP. A photo manifest lists every photo’s storage path and capture fingerprint rather than embedding the images themselves — the originals stay in evidence bundles or reachable via the API. Resident vulnerability and safeguarding triage answers — special-category personal data — are included only when you personally clear the same manager-or-above bar the triage feature itself is gated on; if you don’t, that file is left out of the ZIP entirely rather than included empty or redacted.
Before you start
This export needs Module-admin (level 3) access to Audit specifically — a higher bar than the Settings level that opens the Data & exports page at all.
How to do it
- Open Settings → Data & exports.
- Click Export organisation data (GDPR).
- Wait for the ZIP to build — a signed download link opens automatically once it’s ready and stays valid for around 15 minutes.
- Re-run the export any time; there’s no fixed limit beyond a shared per-organisation rate budget guarding against rapid repeated requests.
How it integrates
The export never alters or removes anything it reads — sealed evidence has no edit or delete path in the first place, so exporting it changes nothing about the underlying record. It sits alongside, and is distinct from, an evidence bundle (a single sealed record’s own chain-verified ZIP, see Evidence bundles) and the nightly EDI and BigQuery exports — this is the only one that pulls literally everything your organisation owns into a single file. Every export attempt is written to your audit log.
Common problems
- The resident-triage file is missing from my export. That’s expected if you don’t hold manager-or-above access yourself — the export honestly omits it rather than including a suspiciously empty file; ask an administrator who holds that access to run it instead.
- The download link has expired. It’s only valid for around 15 minutes — re-run the export for a fresh one.
- I can’t find “Export organisation data” on the page at all. It needs Module-admin access to Audit, not just ordinary Settings access — check your Audit permission level with an org-admin.
