Assigning surveyors and operatives

Who can do thisPermission: scheduling ≥ 2

Every unassigned job sits in a tray until it’s dragged onto a person and a slot, or reassigned from one person to another already on the calendar.

What it is

Survey visits can only go to surveyors; works-order visits can only go to operatives — the calendar enforces this itself, so a survey card can’t be dropped onto an operative’s lane. Suggested assignees appear alongside each unassigned card with a plain-English reason (for example, proximity to the property) and, where relevant, a proposed time slot — these are suggestions only; the final choice is always yours. Every drag-and-drop action has a keyboard- and screen-reader-safe equivalent through each card’s Reassign to… menu.

How to do it

  1. Open Schedule and find the job in the unassigned tray — surveys and works orders sit in separate trays.
  2. Drag the card onto a surveyor’s or operative’s lane at the day and time you want, or use a suggested assignee’s own Assign action if one is offered.
  3. To move an already-scheduled job to a different day, time or person, drag it directly on the calendar, or use its Reassign to… menu.
  4. To send a job back to the unassigned tray, drag it off the calendar onto the tray area.
  5. Confirm the change in the toast message that appears, which names who the job is now assigned to and when.

How it integrates

A reassignment lands in the new assignee’s field app and personal calendar feed immediately — there’s no separate “notify” step. Moving an already-in-progress job to a new slot changes its scheduled time only; it never rewinds its stage back to scheduled or open. An operative can never be handed a survey visit, and a surveyor is never suggested a works-order visit — manual assignment is slightly more permissive than suggestions (any active non-operative role can still be manually handed a works order for smaller teams), but the reverse is never possible either way.

Common problems

  • I can’t drop a survey card onto an operative’s lane. That’s deliberate — operatives use the stripped-down works experience in the app and have no survey workflow to open it in; assign the survey visit to a surveyor instead.
  • No suggestions appear for a job. There are no active surveyors (or operatives, for a works order) to suggest — add or reactivate someone, or assign manually regardless.
  • A job I reassigned still shows the old assignee somewhere. Check you’re looking at a cached view — refresh; the assignment itself updates immediately and the field app reflects it as soon as it next syncs.
